Understanding Roles and Permissions

Updated Apr 4, 2026 Users and Roles

SampleHQ uses four roles to control what each team member can see and do. Every user is assigned exactly one role.

Owner

The account owner has full access to everything. This includes billing and subscription management, CRM and shipping setup, user management, system settings, and all operational features. There is one owner per workspace.

Manager

Managers can see all orders across the team, manage users (add, edit, assign roles), view full attribution reports, manage forms, and export data. Managers cannot access billing, CRM connection setup, or system-level settings.

Sales

Sales reps can browse the sample catalog, create orders, track their own orders, use the deal picker to link CRM deals, and view their own attribution data. They cannot see other reps’ orders or access team-wide reports.

Fulfillment

Fulfillment team members process orders from the queue, generate shipping labels, track shipments, and manage the packing workflow. They see all orders that need fulfillment but cannot create orders, manage users, or access attribution reports.

What changes by role

  • Sidebar menu: Each role sees only the menu items relevant to their work.
  • Dashboard: Owners and managers see team-wide KPIs. Sales reps see personal stats. Fulfillment sees operational metrics.
  • Order visibility: Sales reps see only their own orders. All other roles see all orders.
  • Settings access: Only owners can access billing, CRM setup, and system settings.
