Order Reminders and Follow-ups

SampleHQ automatically sends reminder notifications for orders that are stuck in processing or overdue for fulfillment. This helps prevent orders from falling through the cracks.

How reminders work

The system checks daily for orders that have been in a processing state longer than expected or are past their target fulfillment date. When it finds overdue orders, it sends email notifications to the appropriate team members.

Who receives reminders

Reminders are routed based on role:

  • Fulfillment team members receive reminders about orders in their queue that need attention.
  • Managers receive summary notifications about overall overdue order counts.
  • Owners receive escalation notifications for orders that have been overdue for an extended period.

Follow-up timing

Reminders are sent based on how long the order has been in its current status. Orders that have been stuck longer receive more frequent and escalated notifications.

Configuration

Order reminder settings are managed in System Settings. Owners can adjust the timing and recipients of automated reminders.
